Receipt Status Management (Package Statuses)

This page covers package statuses and how they are used in the software. Our package tracking software records the history of a package from the time that it is first received until its delivery to the ultimate recipient. There may be several stages in the process between receipt and delivery, which are recorded as statuses (receipt and delivery are also statuses). At any time, you can review the current status of a package as well as the history of previous statuses that it's been in.

Navigating to Receipt Status Management

 

To review your statuses, create or remove one, or modify one, you can access the receipt status management page as an administrative user.

Go to Admin → Receipt Status Management.

The default Receipt Status Management page looks like this, and includes the pictured statuses by default:

The characteristics of each status are documented in the columns next to it on this display (Signature, Transfer, Release, etc). A description of what each of these means can be seen to the right of it in the top section, which is used if you want to create a new status.

 

Creating a Custom Status

To create a new status, you can fill in the top section with details about the status and it's characteristics. When you're satisfied with the characteristics you selected, you can click 'Add Receipt Status' in the lower right.

Modifying a Default Status

 

To modify an existing default status, you can do the same thing, but you will need to copy the Code section identical to the existing status you are wishing to change.

If you do not wish to modify the FUNCTIONS of what that status does, please be sure to toggle on the same characteristics of that default status you are modifying.

This example modification of the status “SHIPPED” would not need any characteristics toggled on to have the same functions as it did before, but as you can see the other status can have many, like the status “DELV”.

Modifying a Custom Status

Once you've created your custom status or made a default into a custom one by modifying it, you will be able to click the Pencil Icon to the left of it to modify it further, as well as an Trash Can Icon to the right if you want to remove it (if you remove custom status that is also a default, the status will return to its default configuration).

If you click the Pencil Icon to modify the status, you'll have a few new options available for the status. You can set location filters, communication rules, and schedule changes to other statuses:

 

The Communication feature allows you to send SMS and email notifications to people when a package enters the status:

With the two rules above configured, our account would be set to move statuses from received to first notice half an hour after the initial receipt, at which point an email would be generated.

 

Reviewing Current Status and Status History

 

The current status of any package is always visible on the receipt details paged, which can be pulled up from any screen that allows you to find your package. Note 'Current Status' at the top:

 

The package history is also available further down on the receipt details page, where you can see the timestamps at which the package went into various statuses in the past:

 

It is important to note that once a custom status has been created and used, modifying the case it will cause any historical data to present that status' name as Unknown, so it is advised to not delete custom statuses that have been applied to packages.
